Is there a way to flag that an account is on credit hold? It would be helpful if we could have a message displayed when an attempt is made to create a new ticket saying something like "Warning - Account on Credit Hold".

Re: Account on credit hold
Hi cosborne,
Yes, you can flag an account so the application will alert your technicians about a suspended account. There are several ways to do this:
1. When you create a new Ticket, the Account's Service Notes are displayed in the area beneath the selected Account. You can write these notes in the Account's Service tab. Note that in the Service tab, you have the Description and the Internal – the Internal is displayed to employees only, so even if your client can view their Account information via the Web interface, they will not see the internal notes.
2. Same goes for the Contract's Internal Notes field in the Contract's Details tab. The Internal note is displayed whenever theContract is selected for a new Ticket, so you can write there a note "MONEY ISSUES" and let your technicians know not to open Tickets when this is displayed.
3. You can also freeze the Contract. You can set the Account's Contract Status as Suspended (make sure to save the changes in order for this to take effect) and when your tech attempt to use it for new Tickets or Charges, the system will warn them with a pop-up message saying that the contract is suspended. In any case, if you do use a suspended Contract, it will appear in red.
4. You can also use the Account's pop-up message (in the Accounts>Details tab), which pops when viewing the Account details, and you can set it to warn users that this Account has money issues. This will be displayed when viewing the Account in the Accounts list (this does not pop-up when creating a new ticket).
I hope this helps!

Re: Account on credit hold
Just a quick update - the Account Popup feature (option #4 above) has been enhanced in version 5.4 and is now displayed whenever manually selecting the Account in any window, such as when selecting the Account for a Charge, Ticket, Contract, etc. It will also be displayed when using the QuickBooks Invoice Creation Wizard if the related Account has a Popup defined.
This provides a perfect way to flag that an account is on credit hold.
See more details about this new feature and others in the new What's New in Version 5.4 .
