    Addt'l Info Availability on Web Interface

    Greetings,

    Prior to implementing Commit, we used a pw protected excel spreadsheet form we created for each of our customers, to keep track of all of their users, logins and passwords for windows and all applications. We are looking at what is the best way to move this information into CommitCRM - and continue, as we do currently, to carefully manage access toCommitCRM.

    We need our Techs to be able to easily modify this UN/PW documentation as MACs are made AND keep that updated for all of us to view current information. We understand we do not have the ability to upload documents to CommitCRM via the Web Interface and so downloading, modifying and reloading the excel document to CommitCRM from the Web Interface is not an option AND would NOT be an ideal solution regardless.

    We thought a possible solution would be to add a Tab to the Account or to an Asset for each Account in CommitCRM and add our own Fields and then populate with user names, application names, passwords etc. We added a Tab to Assets so that we could have a USER/PW Asset for each customer and then populate our new Tab. We noted that our newly added Tab is not appearing on the Web Interface view (even after restarting the Web Interface) which makes it not useful for our purpose. Is there something we need to do to make our new Tab accessible on the Web Interface?

    Alternatively we discussed but don't particularly like the idea of typing this information free-form into one of the Notes fields (either on the Details tab or the License tab) of Assets. We understand we cannot add the new Fields we've created to existing CommitCRM Tabs - only to Tabs we've created.

    We would like to have CommitCRM hold (in some cases extensive) user name and password lists for each of our customers, viewable AND modifiable via the Web Interface.
    Would you please suggest a best practice way to accomplish this? Also if anyone has come up with a solution for this, we'd appreciate others' suggestions.

    Hi Lisa,

    Thank you for the detailed and helpful description of your needs.

    There are several options you may consider -

    (1) Manage general information related to each customer in their Notes field and specific information for each of your customers' employees/users as part of the notes field available at the secondary contact level. This way you'll have all of the required information available for you when viewing the account details, and the relevant info organized in the user level when viewing the secondary contact details.


    Using this solution you can view and edit this info by both the installed client and the web interface.

    (2) Use Asset records
    The Asset module included in RangerMSP lets you track your customer's assets including hardware, software and other.
    You can add as many asset records for each customer and use them to manage their usernames, passwords etc. When handling a username/password you can create a separate asset record for each and link it to the relevant secondary contact (employee) of your customer (the secondary contact is located next to the Account field, on the right, in the Asset window).

    You probably already track your customers' servers using the assets features, what you can do is track server specific information in the various pre-defined customer-fields which are part of the asset record (originally called Field1, Field2 etc. - though you can rename their label to anything you like - MAC, Admin Password etc.) and you can also use the Asset Notes field to manage additional information.

    Using this solution you can view and edit this info both from the installed client and the web interface.


    Besides, you may continue using your current method with the attached Excel file for each customer. This enables employees at the office to manage the info and technicians on customer-sites to download using RangerMSP Web Interface and see the information they need. They can then email it back to the office in cases where they've made some changes. You may be interested to know that we plan on adding a file upload option so this will be even easier to send updates to the office simply by uploading the file back.

      Thank you, Doron for your thorough response.

      We hope to see the following considered for future development of Commit:

      -Ability to add our newly created Fields to existing CommitCRM Tabs. We do see that there are a few available user-defined fields but not nearly as many as we'd like to utilize and some are further restricted by the accepted data entry already being defined (e.g. Date) and no ability to modify the type of accepted data to be entered in that field.

      -Ability to see our newly created Tabs (and Fields on those Tabs) via the Web Interface.

      Where a customer has 10-20 or more employees we do not wish to add each employee as a secondary contact but we do still need to track all of the user names and passwords for each application for every employee. For us this would ideally be done in one place and we prefer not to free-form type this in fields such as Notes, etc.

      We look forward to the Web Interface file upload option you mentioned is being developed - thank you for the continuous enhancements!

      Also we'd like to hear how anyone else has addressed this issue of using CommitCRM to track user names and passwords of all of each Customer's applications - any comments from other Users?

        Quick update:

        Starting with RangerMSP 5.5 the Web Interface shows user-defined custom fields as requested above.

        Employees can now see custom fields when using the Web Interface, providing you access to valuable information stored in these fields, even when you are out of the office, using the Web Interface. For example, if you add custom fields to Assets to hold IP addresses, special notes, passwords, etc. they will now be displayed to technicians when on-site via the Web Interface.

          Hi!
          Thanks for letting us know this and we're very pleased to now have access via web interface to our custom tabs with custom fields! This is a huge benefit with the upgrade to 5.5!
          In the (2yrs) time since we originally suggested this feature, we became accustomed to our staff who use the web interface NOT being able to access our custom tabs & fields and we were using some custom tabs to store information which we did NOT need staff to access, knowing that they could NOT view this from the web interface! :-)

          Accordingly, we would now like to have control over WHICH custom tabs are viewable on the web interface.
          Is that possible?

            Hi Lisa,

            Thank you! Viewing custom fields when logged into RangerMSP Web Interface was a popular feature and it is now implemented in RangerMSP 5.5.

            As to your question - An employee will see ALL custom fields. At this stage you cannot select which fields are displayed.
